It's the first question on almost every van call: what's this going to run us? Fair question — a 15-passenger van is the biggest thing we rent, and the groups who need one (teams, churches, reunions, work crews) usually have a budget to answer to. So here are the actual numbers, no "starting at" fine print.

The rate, plainly

Our 15-passenger van is $135 per day plus $0.10 per mile. Rent it for 7 days or more and it's $750 for the week with unlimited mileage. That's the whole rate structure. No airport concession fee, no surge pricing on busy weekends, no call-center add-ons. The price we post is the price.

What common trips actually cost

Mileage is the only moving part, so here's how it shakes out from our lot on Highway 54 (round-trip miles are approximate):

  • La Crosse day trip (~110 miles): $135 + about $11 = ~$146
  • Eau Claire day trip (~100 miles): $135 + about $10 = ~$145
  • Wisconsin Dells weekend, 2 days (~160 miles with local driving): $270 + about $16 = ~$286
  • Madison, 2 days (~260 miles): $270 + about $26 = ~$296
  • Twin Cities, 3 days (~320 miles): $405 + about $32 = ~$437

Split a La Crosse day trip twelve ways and it's roughly $12 a head before fuel. That's the number coaches and trip organizers take back to the group.

When the weekly rate wins

Six days at the daily rate is $810 before a single mile — already more than the $750 weekly rate, which includes unlimited miles. Even at five days, a long-haul trip can cross over: five days is $675, so anything past about 750 miles makes the week the better deal. Rule of thumb: five days or more, ask us to price it both ways. Deposits and payment

There's a refundable deposit at pickup: $300 for local renters, $500 for out-of-town renters, on a credit card or a bank debit card. Credit card transactions carry a 3% surcharge (disclosed before you pay); debit and prepaid cards are never surcharged. Full details are in our deposit and payment guide.

What you need at pickup

One licensed adult driver with the standard three documents: driver's license, card, and proof of auto insurance. Worth a two-minute call to your agent before a big trip — some personal policies treat large passenger vans differently than cars.

The real cost driver: availability

Here's the part the rate sheet doesn't show: there's one 15-passenger van in our fleet, and most national chains stopped renting them to consumers years ago. On fall Saturdays and holiday weekends, the price isn't the constraint — the calendar is. If the date's firm, lock it in. If the big van's booked, two 7-passenger minivans ($78/day + $0.10/mile each) still move 14 people.
